At Sunray Family Counselling Centre, your privacy and confidentiality are central to the therapeutic relationship. This notice explains how your personal information is collected, used, protected, and disclosed in accordance with British Columbia’s Personal Information Protection Act (PIPA) and professional standards for social workers.

• Name, contact information, emergency contact

• Background information relevant to your concerns

• Health or psychosocial history

• Family information (for child, youth, or family therapy)

• Payment information when applicable

• Session notes and assessments

2. How Your Information Is Used

• To provide counselling services

• To communicate with you

• To maintain accurate records

• To meet legal and professional obligations

• To coordinate care with your written consent

3. How Your Information Is Stored and Protected

• Encrypted software

• Password-protected devices

• Secure physical storage

• Limited-access records

4. Limits to Confidentiality

Information may be shared only when:

• You give written consent

• There is risk of harm

• There is suspected abuse or neglect

• Required by law or court order

• Necessary for consultation (minimizing identifying details)

5. Your Rights

You may access your record, request corrections, withdraw consent for sharing, and ask questions about your information.

6. Communication and Electronic Services

Email, text, and online communication have privacy risks. Secure platforms are used for telehealth.

7. Record Retention

Records are kept for at least 7 years, or 

7 years after a minor turns 19.
